Materials & Info for Board Meeting - May 15th

 

 General Board Meeting Schedule

 Business Meetings- Third Tuesday of the Month, 7:30-9:15 p.m., with a potluck reception from 7-7:30 p.m.
Board business meetings are open to all. If you are coming to the reception, you are welcome to bring finger foods and drinks for 4-6 people. If you feel that advance preparations may be needed to make the meeting more accessible or comfortable for you, please contact the Chair, Natty Averett, at nataliaaverett@aol.com, 703-868-8189.


Trustee Covenant Meetings/Private Gatherings- Sporadic/No schedule set- Trustees gather occasionally for covenant meetings, private discussion or private gatherings.  Although the number of trustees present may constitute  a quorum for conducting business according to our constitution (5 trustees or more) and matters of the church may be the focus of some, if not most, of the conversation, these are not open board meetings and no church business will be conducted.

Announcement of the occurrence of these meetings serves to affirm that no business will be conducted at these gatherings, to maintain transparency in the activities of the Board, and to affirm the commitment of trustees to UUCA’s and the Board’s  standards of governance, personal conduct and accountability to the congregation.

Trustees are asked to complete an Advance Report Response Form. This form is used to allow Trustees to share their opinions about the content of the reports and to share their opinions about Board matters and church affairs in general.

A Note Regarding Reports: As the governing leadership of the congregation, the Board interprets the congregation’s mission, vision and other congregational statements into goals related to how the church will be of service to the world. These goals, which we call Ends, are more specific than a vision but less specific than a work plan, program outline or management directive. In line with the governance model we use, Policy Governance, the Board recognizes that the staff, paid and volunteer, doing the work are the ones best qualified to handle the day-to-day management and the creation of programs designed to meet the needs and desires of the congregation. The staff are given the freedom to operate in support of the church’s ends so long as they remain within the boundaries of the Board’s Executive Limitations. These limitations are the Board’s interpretation of the congregation’s values, best interests, culture, and moral and legal obligations articulated in terms of those aspects of the church’s operational way of being or staff actions that are most important to promote, sustain or avoid. The Board has designated the Lead Team Minister, Rev Michael McGee, and the church administrator, Bill Peters, as the Executive Team, the central reporting authority and liaison between the Board and the staff. The Executive Team (ET), often with the assistance of other staff, reports to the Board on the church’s progress toward its ends and staff’s compliance with the limitations. The Board seeks input from and responds to the congregation and the staff in order to revise the directives it gives the staff, including the Executive Limitations and the Ends. The Board also continues to discern, articulate and promote the values and goals of the congregation as a whole. I hope to see folks at the Board meeting tonight! We will be discussing the proposed budget to be put before the congregation on May 20th at the annual meeting, as well as the staff's monitoring/evaluation reports related to communications to the congregation,  to the treatment of members, friends, visitors and staff, and to the integration and support of volunteers.
